When colleagues work fixed hours such as 08:00β16:30 or 07:30β16:00, Collabin can prefill their monthly attendance sheets from reusable work schedules. Effective dates preserve earlier assignments, and daily presence emails use individual table rows with coloured status markers.
Create fixed templates
As an Admin, open General settings β Work schedules. Enter a name, start and end times, and the unpaid break in minutes. For example, 08:00β16:30 with a 30-minute unpaid break gives 8 hours of work. The break must reflect your arrangement; 30 minutes is only an example. Start and end must fall on the same day. Working days follow the company calendar, including holidays and additional working days.
Assign a schedule from a date
Open a member's editor and its Work schedule tab. Select a template, choose Effective from, and save the assignment. Save a new member before assigning a schedule. Use Assign to multiple members in general settings for bulk assignment.
A schedule starting on November 1 does not change October's hours. For corrections with the same effective date, the newest assignment applies and earlier records remain in history. Backdated corrections intentionally change regenerated sheets for the affected period. Selecting No schedule / manual entry stops prefilling from that date.
Template hours cannot be overwritten. Copy to form, create a replacement, then assign it from the required date. Archiving prevents new assignments while preserving existing and historical use.
Enable home office as working time
Edit the home-office leave type in general settings and enable Counts as working time. Existing types default to off, so configure this explicitly. The setting works independently of the type's name. Leave it off for holidays and sickness. It affects attendance-sheet filling, not leave quotas.
Prefill and review attendance sheets
Under Reports β Attendance sheets, select the month and members and enable Prefill working times. It is off by default. Attendance sheets are available on Advanced and Pro, with one A4 page per member and PDF saving through the print dialog.
Office work and configured home office use the assigned times and net duration. Full-day approved absences and non-working days stay blank. A half-day holiday needs manual entry because its exact timing is unknown; half-day home office alone does not shorten the working day. Missing schedules also leave times blank. A warning identifies unresolved days, and incomplete monthly totals stay blank.
Hiding leave labels does not disable absence handling. These are schedule-based prefills, not clock-in records. Review and, where needed, correct the paper before signing. Overtime, rotating patterns and overnight shifts are not included.
Daily presence emails and API access
Each listed colleague has an individual email table row. Coloured status markers, group counts and half-day labels make it easier to scan. Existing team filters, permissions and the option to hide office workers' names remain available.
The Pro API exposes /v1/work-schedules, /v1/work-schedule-assignments and /v1/reports/attendance. Assignments use user_ids, schedule_id and effective_from; include_work_times=true enables attendance prefilling. Mutations require a write-permission API key. Start with the API quickstart.
